Introducing VISTAS
VISTAS is the student records/registration system
developed for
An NMSU-modified version of IBM's Joint
Applications Design (JAD) process was used to define the specifications for the
new system. Key users from the colleges, branch campuses, and administrative
offices have met in JAD sessions to determine the requirements of the key
functional areas.
This manual introduces VISTAS and its sister
system, the Student Account Records (SAR) system and provides an overview of
their major components -- the screens, tables, and reports.
NMSU policy is that
users must have VISTAS training before they will be permitted to have a VISTAS
logon. Consequently, this manual is
intended to supplement the information received in training rather than be used
as the only source of training. As a
reference manual, it assumes the reader has completed training and is familiar
with the system.

ahead provide a broad overview of the VISTAS/SAR systems and how they work.
Conventions Used
A
number of conventions are used for giving directions:
If
there is a sequence of characters that you have to type, those letters are
shown in bold type. For example, the
instructions
Type
MANT [ENTER]
mean to type the word MANT and press [ENTER].
If
there is a key that you need to press, it will be shown with brackets on either
side of the key name.
Press
[PA2]
means to press the PA2 key.
If
you have to supply some information, italics will indicate the type of
information needed The
instructions
Enter
Student ID
means to type in the id number used by the student.
Note: You will
always have to press the [ENTER] key to signal to the system that you are
giving it some information. The system
cannot process your input until you send that input by pressing the [ENTER] key.
VISTAS/SAR Security Because
of the sensitivity of the information in a student records database, the system
has been designed with a number of security measures in place. Security is granted on a "need to
know" basis. Your unique logon ID
allows you access to the parts of the system that relate to your job duties,
allowing you to view the screens that you need to work with and add to or
update those areas that you are cleared to change.
In
some cases, for highly sensitive information (like grade changes), the system
audits the transaction to record when the change was made, the terminal that
was used, what the change was, and the logon ID of the person who made it.
Consequently,
to protect both yourself and VISTAS, do not divulge your logon ID's to anyone
or write them where they could be discovered. Nor should you leave your
terminal unattended if you are working within VISTAS or SAR.
Computer Etiquette
Hundreds
of terminals and personal computers link to the
mainframe computer at the NMSU computer center. Although
the system is designed to handle the needs of many users, it
can be slowed in periods of peak demand. Consequently,
people who use it daily can make a big difference in the
system's response time if they will respect a few basic
rules
regarding system use.
1. Do not leave your computer linked to an
application if you have completed using it.
2.
Follow the standard procedures for
exiting the system. Be sure to log
off. Just turning off the computer
keeps you linked to VISTAS or SAR.
Keyboard Mappings
If
you are using a personal computer for accessing mainframe
applications, the terminal emulation software in use on your
machine will enable some of keys on the PC keyboard to carry
out the same functions of
keys on a terminal keyboard. To
operate efficiently, you
need to know the key mappings for the
following terminal keys:

Home
Newline
Tab
Reverse tab
Erase to end of field
PA2
PA3
Some
terminal emulation packages permit you to set your own keyboard mappings; for others the
mappings are fixed. If you are using one
of the 3270 terminal emulation packages supported by Computing and Networking's
Logging On Because
the logon process changes,
this section of the manual
does not tell you how to log on to the mainframe
system. See
Section 5 for the most current procedure. Those directions
will
show you how to get to the NMSU menu shown on the next page.

The
screen above is the first you see when you log onto VISTAS or SAR. Once you have this NMSU Main Menu you have
several options.
Move to the screen you want to see by entering
its screen code in the screen code field.
Or
log off. There are two ways to do it:
--If you want to log off and return to the Netview Access Screen, enter LOGD as the screen
code.
-- If you want to return just to the CICS
system, enter CICS as the screen code.
From there you can move to some other CICS application such as SAM. Or you can exit the CICS screen by typing cssf logoff or by pressing the PA3 key.
Sample
menus for the Registration subsystem and systems support tables are shown on
the following page. They are accessed
using the REG or TBL screen codes. To see the SAR menus, use the SAR
screen code.

Areas
of the screen are used for certain purposes.
1. Line 1 - Transaction line
2. Line 2 - Error message line

Transaction Line The
transaction line (line 1) provides a means of communicating with the system,
and several vital elements are located here. Positions 1 through 4 hold the screen
code for the screen name.
The
transaction code is two spaces to the right of the screen code. It signals to the system that a certain
action should be taken with the screen. You
might want to ask for help (H), or change a record (C) on the screen, or find
(F) certain information. Using the
one-letter transaction code signals to the system what needs to occur and
speeds processing time.
The
transaction line key fields occupy the remaining positions on this
line.
Two
kinds of key fields can exist on the transaction line.
--The
search key fields have asterisks immediately following their names. Use
these fields to define the criteria for records you want to retrieve. For example, on the MCFL screen, typing
ENGL111 in the CRS* key field will produce a list of courses that begins with
English 111.
--The
transfer parameter key fields have a colon following their field
names. These fields hold field
information as you transfer between screens and save you from having to
re-enter it when it is needed again, e.g. holding a student ID number as you
move between screens.
Error Message Line Line
2 is the error message line. It appears
blank most of the time except when the system is alerting you as to any errors
you might be making. The transaction
will not be completed until you enter a value the system can take.
Screen Title Line Line
3 is the screen title line. It contains
the name of the program that runs the screen and the screen title.
Information Area Lines 4 through 22 hold the records that you are
viewing, adding,
or changing.
Warnings/Show Support The bottom line
provides an area for warnings and show support.
Area Once
you have read the warning, press [ENTER] to return to the
main screen. When
the line is used for show support, it provides
a short description of a code used in a table-supported
field.
Types of Screens VISTAS and SAR
screens fall into several categories.
Screens may be multiple entity, single entity,
or a combination of the two.
Multiple Entity Screens Multiple
entity screens will reflect many records.
For example,
the SCCL screen below shows classes that are offered on a
campus
during a semester.

A multiple entity screen may contain many
records. The SCCL screen lists hundreds
of courses that are being taught during a given semester.
Once you transfer to a multiple entity screen,
some of the values in the transaction line will reflect information from the
first record on the next screen in the sequence. For example, the value shown in the CRS* key
field in the screen above reflects the first record on the next screen in the
sequence.
Multiple entity screens are distinguished by the
function code column (labeled F/S or sometimes just F) immediately to the left
of the multiple listings. This column
can be used to select records; add, change, or delete them; order print jobs
for them, etc.
Single Entity Screens Single
entity screens reflect information relating to a single record.
The SCSS screen, for example, will give
information that relates to a single section of a course.

Single/Multiple Entity
Screens Screens may also be a combination of single and
multiple entities information.
VISTAS Action Codes
VISTAS uses two kinds of codes to indicate to
the system that
an
action needs to be taken. These codes
are transaction codes and function codes.
Transaction Codes The
transaction code tells the system the kind of changes
to
look for when a screen is processed.
Transaction codes may be any of the following:
F Find
- Finds something - either another screen or records specified by the key fields in
the transaction line for the current screen. F is the default transaction code,
and it appears whenever you call up the screen or complete a transaction.
C Change - Indicates that changes
will be made to some of the records or data fields listed on the screen. The C transaction code is used for both
single entity and multiple entity screens.
A Add - Adds
an entry. This code is only valid when
at least part of the screen contains single entity information. Note:
The Add is used when you are creating new records. Do not think of it as adding to existing
records.
D Delete - Deletes an entry. This code is only valid for screens that
contain at least some single entity information.
H Help - Displays the help screen to
explain how the screen operates and to list its valid codes.
S Show - Displays the expanded
description for the value of a specified field.
P Prints - Prints certain kinds of
documents.
Q Quit - Terminates use of this screen and
returns the user to the subsystem menu.
Transaction codes are tied to security level,
and even though a transaction code may be listed on the help screen as valid
for a particular screen, it may not be accessible to all users.
Function Codes
Many VISTAS screens are multiple entity
screens. The records that are added or
changed are preceded by a function code column, which is usually located on the
far left side of the screen (Note the function code column in the screen shown
on page I-7). This column has two fields
on each line, one to hold the function code when you enter it and the other to
show the status indicator. The column heading is F/S. (The "F" stands for
"function," the "S" for "status") When you initiate
a transaction for a record, you enter the function code next to the record in
the first field of the function code column on that line. If the system accepts the transaction, it
moves the code into the status field and displays the transaction that you have
entered.
VISTAS and SAR have many different function
codes, some of them two character, others just one. The most commonly used function codes are the
following:
A Add
C Change
D Delete
S Select
To add a record, type an "A" in the left field of the
function code column next to any line in the series of records listed. (It doesn't matter whether the line is blank or has records on it and it doesn't matter which line you
choose.) Type in the information
required in the record field next to the function code column and then press
[ENTER]. The system will redisplay your
transaction, and once you press [ENTER] again, the new record will be inserted
wherever it is logically placed in the record sequence. If you typed over existing records, they will
not be affected. Most screens use the
"C" transaction code with the "A" function code.
To change information on a line, move the cursor to the line, type a
"C" in the left field of the function code column, move the cursor to
the point where information is to be changed, type over the existing
information, and press [ENTER]. Remember
to use a "C" transaction code with the "C" function code.
To delete a line, move to the line you want deleted, type a
"D" in the left field of the function code column, and press
[ENTER]. Remember that you must use a
"C" transaction code with a "D" function code.
To select a record, type an "S" in the left field of the
function code column on the same line as the record that you want to
select. Then move to the transaction line,
type in the screen code of the screen that you want to transfer to, and press
[ENTER]. (Any of the transaction codes
will work with select). When you move to
the new screen, it will display information for the record that you have
selected.
Select is useful when you are working on a
multiple entity screen that contains a listing of many records (for example,
listings of many different courses) and you want to move to a screen that shows
information on one of those courses.
Note: Not all function codes are used on every
screen. Also, some function codes can
consist of more than two characters. The help screens list transaction
code/function code combinations that can be used for their respective screens.
Screen Processing of The
status field shows whether the system has accepted a change.
Function Codes So once
you have typed in the function code in the left field,
typed in the correct transaction code, and pressed [ENTER],
the system processes your change. If it accepts it, the function
code disappears from the left field in the column and
reappears
in the status field to show that the transaction is
complete. Only
the line that has been changed displays, providing you
feedback for
the addition/correction you have just initiated. When you press
[ENTER],
a full screen of records will appear.
Validation
Tables To protect the integrity of the data in VISTAS,
cross checks for
some fields assure that data entered are in a standard
format
and acceptable values.
For
example, there are several campuses associated with New
validation table,
which the system checks any time a user adds
or changes a campus listing.
If anything
other than one of the
accepted values for campus is entered, the system will issue
an
error message. The
validation tables are maintained on-line
and can be viewed.
Section IV of this manual gives specifics
on viewing tables.
User
Support Two kinds of on-line documentation are available
in VISTAS
the help screens and field support.
The help screen is a valuable tool. It will tell you what the screen will do,
list its transaction codes and function codes, and
list fields that have show and/or question mark support (described below). The special processing notes list rules
governing screen usage, and the last section defines screen fields. Use [ENTER]
to scroll between pages of a help screen and the [PA2] key to return to the
main screen.
The help screens are designed to help users work
independently. They should be the first
thing to look at as you learn about a screen.
Because they are online rather than printed as a manual, help screens
evolve to reflect changes in the screens.
Field
Support Two kinds of field support are provided for each
screen:
question mark support and show support.
Question
Mark Support Use
question mark support when you want to enter a value
in a field supported by a validation table and are not sure
what
code to use. Use the appropriate transaction
code/function
code combination to initiate the change wanted and then type
a
question mark in the first space in the field. Then press
[ENTER]. The validation table for the field appears.
Note: You
cannot get out of this table until you select one of the values! To
select a value, place an S in the function code column of the preferred code
and press [ENTER]. The value of the
field changes to the code that you selected.
Because you must choose a value before you can
leave the table, do not use question mark support if all you want to do is
view a table. Use this option only
when you are adding/changing values to a field.
Show
Support Because a screen has only a certain amount of
room to show
a lot of information, many codes are cryptic. Show support
provides an expanded description for codes for some table-
supported fields.
For
example, a user might not know what CS in the ADM
data field on the SADU screen represents. If that user types
an S in the transaction code, positions the cursor anywhere
in
the ADM code field, and presses [ENTER], the definition of
CS as a continuing student appears
at the bottom of the screen.
Not
all table supported fields have show support.
Check the
help screen for this information.
VISTAS For VISTAS users a single task may entail
working with multiple screens before it is completed. Several features in VISTAS make it easy for
you to work between screens. These
include the screen codes, select option, wild card searches, and transfer
parameters for key fields.
Screen
Codes As
you have seen, VISTAS and SAR are screen driven. Every screen has its own unique code. Users familiar with the system will move
through it quickly because they have memorized the screen codes they use most
frequently. Less frequent users will
need the screen menus, which list the subsystems and the screen codes.
Select
Option Discussed earlier was the select option for
function codes, which lets you select a record by typing an S [on some screens
you can also use also F (for first) or L (for last)] in the function code
column next to a record on a multiple entity screen. Enter a new screen code to call up the new
screen showing information for that record.
Check
the help screen to verify whether the select option is
available for a screen.
Wild
Cards Multiple entity screens may contain thousands of
records.
Wild
card searches provide quick access to records within a list.
Wild
card searches are used in the search key fields on the
transaction line. By
substituting a wild card character (either
#
or =) in place of other characters in a search key field, you
can move to where a group of records begins. The two wild
card characters perform differently:
The # Sign. Use the # sign when you are telling the
system,
"Let
me see all the records you have from this point onward,
" and the # represents the point where you want the
list of
records to start.
ENGL111# moves to the section of the records
where the ENGL111 courses are listed.
The
= Sign: Use the = sign when you are telling the
system,
"I
want to see only an exact match."
The MCFL screen is one
of those that permits use of the = wild card. Let's assume you
want to see a biology course that you believe is in the 360
range,
but you're not sure whether that range even exists. If you type
BIOL36=
in the CRS* key field, the system will search through
the records, and when it doesn't find any corresponding
ones,
tell you that no such course exists. Of course, if there had been
a biology course numbered anywhere between 360 and 369, the
system would have taken you right to it.
Only
multiple entity screens provide for wild card searches and
not all screens allow for both kinds of wild cards. Use the help
screen to find if you can use wild card searches on a screen
and
the key fields that allow these searches.
Transfer
Parameters for A fourth feature in VISTAS enables you to move
quickly in the
Key
Fields system because it uses transfer parameters for
certain key fields,
thereby "remembering" the records you were
originally working
on as you travel from screen to screen.
Here's how such a scenario might occur. You might be working in the records for a
particular student and then want to switch to a screen that gives housing
information, or a class listing, etc.
The student's ID number will transfer with you to the new screen, where
it will be listed in the ID: key field on the transaction line of that screen. Then, when you are ready to switch back to
the previous screen, the ID number serves as the key field that enables you to
return to that screen and the student records you were using.
Note: The transfer parameter key fields all have a : after their screen names, e.g. the ID: key field. You can also use these fields to enter transfer information before you move to another screen. When the new screen comes up, it will have the records you want to see already in place.
Screen Validation VISTAS will not make any changes to records
until it has
checked to make sure that the information is as accurate as
possible.
Screen
validation occurs any time while you are working on a
screen and press [ENTER]. If there is any entry that the
system
will not accept, it will highlight that area and display an
error
message for the first error that would be encountered as you
read down through the screen, moving from top to bottom and
left to right. The
cursor will be positioned underneath the error.
However,
even though only one error message is displayed, the
error checking routine highlights all errors on the screen
at the
same time, enabling you to find and correct several errors
in
one transaction.
Once
these errors are corrected, pressing [ENTER] again will
trigger another screen validation. Any remaining errors will
be
highlighted and the system will again provide an error
message
for the first error it encounters.
VISTAS
Screen Colors VISTAS was designed so that screen colors could
indicate certain functions. If you have
a terminal emulation package that allows you to set screen colors, the
following color combinations could prove useful:

screens in this section have data on them - others show only blank fields. As a safeguard against displaying
confidential information, some screens are left blank. Screens of a less sensitive nature show data
to provide a sense of the information that will be displayed.
Note: The screens shown in this section reflect
their appearance when VISTAS is inaugurated in the spring of 1996. Subsequent changes to these screens will

The Undergraduate

Transfer work is first evaluated using a PC-based program in the
