Microsoft Campus Agreement


MICROSOFT PROGRAMS AT NEW MEXICO STATE UNIVERSITY (Summary Document)


Please take a moment to read and understand the contractual obligations for the Microsoft Campus Agreement (MCA) and Microsoft Academic Select (MAS) Program listed below.  It is important for every NMSU employee to understand what they legally can and can’t do regarding Microsoft software at the office and at home.  The information below is a summary. Please refer to the “full document” for more detailed information of the agreement and its requirements and your responsibilities as a user.


MICROSOFT CAMPUS AGREEMENT:

  • Participating departments are required to purchase the Desktop Bundle which includes Windows operating system UPGRADES ONLY, Office suites, and CORE Client-Access licenses.
  • Other software available to purchase are Encarta, Project, SharePoint Designer (formerly Frontpage), SQL Client-Access licenses, Visio, and Visual Studio.
  • Licensing for any of the above Microsoft products is on a per-department basis only.  Per-computer licenses are not available on this program.
  • Licenses cannot be transferred between departments.
  • All licenses on the MCA have work-at-home rights for faculty, staff, & graduate assistants.
  • Media borrowed from ICT for Windows and Office Suite installs on NMSU-owned computers  cannot be used for home computer installs.  Work-At-Home media must be purchased.
  • All licenses purchased on the MCA are LEASED for the contract year. 
  • If an employee leaves a department, they must remove any software obtained on the MCA from their home computer.
  • MCA software can only be installed on computers owned by NMSU (with the exception of employee work-at-home use) and can ONLY be used for NMSU business-related purposes.

 

MICROSOFT ACADEMIC SELECT PROGRAM:

  • The main function of the Microsoft Academic Select Program is to obtain Microsoft software not available on the MCA OR to purchase software on a per-computer basis.
  • Licenses purchased on the MAS do not have work-at-home rights with the exception of the Office Suites.
  • The employee using the NMSU-owned computer on which the Office Suite software is installed can also install the software on one home computer without purchasing an additional license.
  • Licenses purchased on this program are perpetual licenses.
  • A license must be purchased for every computer on which the software is installed.
  • The software license can be transferred from one NMSU-owned computer to another as long as the software is completely removed from the computer it is transferred from.
  • Server licenses can be purchased on the MAS. 
  • Client-Access licenses must also be purchased along with the server license.
  • Licenses on this program must be purchased from Dell/ASAP with an NMSU-issued procurement card or purchase order.  Personal funds cannot be used.
  • Software purchased on the MAS can ONLY be installed on NMSU-owned computers (with the exception of Office Suite work-at-home use) and used only for NMSU business-related purposes.
